KEMIS Portal Login and Registration Guide

The official KEMIS portal is https://kemis.go.ke/. Kenyan school heads and authorised officers can use its live Login to KEMIS and Onboard Institution routes. On 28 July 2026, we confirmed that this is the current government portal. Ministry officials review institution onboarding before credentials are issued. Use the live screens rather than copied field lists, because registration fields, user permissions and Ministry instructions can change.

KEMIS portal login and school registration guide for Kenyan administrators

What the KEMIS portal ?

The KEMIS portal is the Kenya Education Management Information System. The Ministry of Education introduced it as an integrated education-data platform intended to bring institution, learner, user and reporting information into a more unified system. A Ministry release dated 15 May 2025 described a national register covering learners from foundation education to university, while a later Kenya Education Management Institute training update identified four core KEMIS areas: institution registration, learner enrolment, user management and reporting tools.

For a school, the practical role of the KEMIS portal depends on the modules and permissions assigned to the institution’s account. Do not assume that every user sees the same dashboard or that every legacy task has moved. The correct test is the current Ministry circular, the official link provided for the task, and the options visible after an authorised user signs in.

Fresh portal check: the official KEMIS portal root domain was live when checked on 28 July 2026 and exposed routes for logging in, onboarding an institution and accessing KEMIS resources. The older kemis.education.go.ke/NewLogin address found in early references did not resolve during our check, so this guide uses the current HTTPS root domain.

Start with the service named in the current official instruction. Similar branding does not make the services interchangeable.

How to onboard a school on the KEMIS portal

Institution onboarding through the KEMIS portal is the route used to present a school for registration on the system. The official service states that a submitted registration is reviewed and approved by Ministry of Education officials before login access is issued. Onboarding is therefore not the same as instantly creating a personal account.

Before you start onboarding

  • Confirm that the head of institution has authorised the submission and nominated the officer who will manage it.
  • Use an institution-controlled email address that authorised staff can retain during staff changes.
  • Prepare only the official school records needed to answer the live form accurately.
  • Check that the school is not already onboarded. A duplicate attempt can delay review or create conflicting records.
  • Use a supported, updated browser with JavaScript enabled and a stable connection.

School onboarding steps

  1. Open the official KEMIS portal and confirm that the address begins with https://kemis.go.ke/.
  2. Select Onboard Institution.
  3. Read the current instructions before entering information. Complete only the fields displayed on the live official form.
  4. Compare names, codes and contact details with the school’s official records before submission.
  5. Submit once, then keep the non-sensitive acknowledgement or reference shown by the service.
  6. Wait for Ministry review. Do not create another registration merely because approval is not immediate.
  7. When access is approved, follow the official activation or login instruction sent through the registered channel.

Important limitation: we have not reproduced a fixed list of onboarding fields. The KEMIS interface is JavaScript-based and can be changed by the Ministry. A copied list can become inaccurate and may encourage a school to submit information that the current form does not request.

How to log in to KEMIS

  1. Go directly to https://kemis.go.ke/. Avoid search adverts, copied links and unofficial login pages.
  2. Select Login to KEMIS.
  3. Enter the credentials assigned to your institution or user role. Do not use another officer’s account.
  4. Check the institution identity and available module before editing or submitting any record.
  5. Sign out when the task is complete, especially on a shared office computer.

If you cannot remember the password, use the password-reset option on the official service. The KEMIS portal directs users to reset access using the registered username, identified there as the institution’s email. If the reset does not work, contact helpdesk@kemis.go.ke. Never send a password, one-time code or full learner identity record by email.

Access is role-based. A missing menu may mean that your user role has not been assigned that function, the institution is still under review, or the module is being introduced in stages. Ask the head of institution or the responsible education office to confirm the approved role rather than repeatedly opening new accounts.

Managing learner records and school data

The Ministry’s stated direction for the KEMIS portal is a unified education database, and official training has covered learner enrolment and reporting. That makes data quality a school-management responsibility, not a clerical formality. An incorrect identity, institution or enrolment record can affect later reporting and any service that relies on the same data.

Safe learner-record workflow

  • Search for the learner before creating a new record. Do not create a duplicate to work around an error.
  • Enter names, dates and identifiers exactly as supported by the approved source documents and current Ministry procedure.
  • Use the portal’s authorised correction or escalation route when a locked field is wrong.
  • Review totals and exception reports before a submission window closes.
  • Keep a school-side record of who made a material change, when it was made and which official document supported it.

Do not infer that the KEMIS portal accepts every category of learner update at all times. Some functions may be limited by education level, cycle, user role or an official window. Where the live service and an old circular differ, stop and obtain current direction from the Ministry or the relevant education office.

How KEMIS relates to Grade 10 selection and placement

The Ministry uses dedicated online services for Grade 10 selection and placement. They may carry KEMIS portal branding, but the public task still has its own official route. Learners and parents should not be told to enter the general school-administration dashboard unless a current official instruction specifically requires it.

A school administrator should maintain accurate institution and learner data in the assigned service, then follow the separate selection or placement instructions for the cycle. Do not promise that a change in one dashboard will automatically correct a result in another service.

KEMIS vs NEMIS: use the system named for the task

A Ministry release in May 2025 described the KEMIS portal as the planned replacement for the National Education Management Information System. However, the Ministry of Education website still displayed a separate NEMIS service link when checked on 28 July 2026. The safe conclusion is that transition can be staged and task-specific; it is not evidence that every NEMIS function has already disappeared.

Fix common KEMIS login and onboarding problems

ProblemSafe recovery
Old login link does not openOpen the current KEMIS root domain and choose the live login route.
Page is blank or controls do not loadCheck the connection, enable JavaScript, update the browser and retry. Never bypass a certificate or browser security warning.
Password reset message is missingConfirm that you used the registered institution email, check junk folders, then contact the official helpdesk. Do not create a duplicate institution.
Onboarding remains pendingKeep the acknowledgement, avoid resubmitting, and ask the helpdesk or responsible education office to confirm the review status.
Expected module is missingConfirm the assigned user role and whether the function is active for the institution or cycle.
Learner appears twice or a protected field is wrongDo not add another record. Use the approved correction or escalation route and retain supporting school records.

When escalating, describe the problem without exposing sensitive data. Include the institution name, the affected module, the date and time of the error, and a redacted screenshot where appropriate. Remove passwords, one-time codes, full identity numbers, full learner identifiers and banking details.

No permanent national KEMIS registration deadline was verified for this evergreen guide. Treat deadlines in forwarded messages or old articles as unconfirmed until they match a current Ministry circular, portal notice or instruction from the responsible education office.

Protect school and learner information

  • Open the KEMIS portal by typing or using a trusted bookmark for the official .go.ke address.
  • Give each authorised user the correct role; do not circulate one password across the staffroom.
  • Use a strong, unique password and change access promptly when an officer transfers or leaves the role.
  • Do not share passwords or verification codes with callers, WhatsApp groups or people claiming they can speed up approval.
  • Do not upload public screenshots showing full learner, parent, teacher, payroll, identity or banking details.
  • Sign out, close the browser and clear downloaded reports from shared devices.
  • Keep an approved internal record of account custodians and material data changes.

A KEMIS portal error is not a reason to use an unofficial mirror, pay an intermediary or ignore a browser warning. Pause the task and use the official helpdesk or Ministry route.

Frequently asked questions

What is the official KEMIS portal?

The official address verified on 28 July 2026 is https://kemis.go.ke/. Use the Login to KEMIS or Onboard Institution route shown on that service.

Who can onboard a school?

Onboarding is an institution process. It should be completed by an officer authorised by the head of institution using accurate school records and an institution-controlled contact channel. The Ministry reviews the submission before approving access.

How do I reset a KEMIS password?

Use the reset option on the official service with the registered institution email. If recovery fails, email helpdesk@kemis.go.ke. Do not send your existing password or a one-time code.

Has KEMIS fully replaced NEMIS?

The Ministry announced KEMIS as the intended replacement, but its website still listed NEMIS separately on the verification date. Use whichever official system is named for the specific task instead of assuming that all functions have migrated.

Does KEMIS show Grade 10 placement?

Use the dedicated Grade 10 Placement Platform for the public placement workflow. Do not rely on a general school dashboard unless the Ministry issues a task-specific instruction.

Is there a KEMIS registration deadline?

No standing deadline was verified for this guide. Registration, data-cleaning or reporting windows can be announced for a particular cycle. Confirm the date through a current Ministry circular, portal notice or official education office.
