The NEMIS portal login is the Ministry of Education system at nemis.education.go.ke. Authorised school users can sign in with institution credentials to manage learner records, generate or retrieve Unique Personal Identifiers (UPIs), record learner movement and produce available reports. Parents and learners do not normally create school-level accounts; ask the learner’s current school to confirm or correct a UPI. If the portal is slow, keep the official address and retry rather than using an unofficial login page.

What NEMIS is and who should use it
NEMIS means National Education Management Information System. The Ministry describes it as a web-based platform that collects information from education institutions, processes education indicators and supports planning. Learner records are linked to a system-generated Unique Personal Identifier.
The Ministry’s Junior Secondary Education guidelines require school leadership to maintain accurate learner data and register learners in NEMIS. The same guidelines describe the UPI as the identifier used to connect a learner’s record as the learner progresses through basic education.
| User | What they normally do | Access route |
|---|---|---|
| Head of institution or authorised administrator | Manage institution and learner records, movement and reports | Institution credentials |
| Teacher or data clerk | Completes assigned data tasks under school authority | Access authorised by the institution |
| Parent or guardian | Provides correct identity details and asks the school to verify the learner’s record | Through the learner’s school |
| Learner | Uses the UPI when requested for an official education process | UPI supplied or confirmed by the school |
NEMIS is not the same as the KNEC CBA portal. NEMIS manages Ministry education records, while the KNEC portal handles assessment-related registration, tools, scores and reports. A learner can therefore have a NEMIS UPI and a separate KNEC assessment number.
NEMIS login portal: official link and requirements
Open the official NEMIS login portal. The Ministry’s public NEMIS information page also links to that address. Use the institution username and password assigned or approved through the Ministry’s education administration structure.
- Confirm that the address bar shows nemis.education.go.ke.
- Enter the institution username and password.
- Select the login control and wait for the school dashboard to load.
- Open only the module needed for the current task, such as learner records, mobility or reports.
- Log out after completing and checking the entry.
Important: Do not enter credentials on a page copied to a non-government domain. Do not share a password, one-time code, full birth-certificate number or learner record through WhatsApp groups, public comments or screenshots.
Before starting a learner task, keep the school’s official admission record and the learner’s correct civil-registration document available. Names, dates and document numbers should match the source document. Do not create a second record simply because a search returns no immediate result; first check spelling, document type, previous school and whether the learner already has a UPI.
How to register a learner and obtain a UPI
The exact labels can change as the portal is updated, but the safe workflow is to search before creating a record, capture details from official documents and confirm the generated UPI before leaving the page.
- Sign in through the school’s authorised account.
- Open the learner-management area and choose the option for admitting or registering a learner.
- Search for the learner using the identity-document details available in the portal. This check helps prevent a duplicate record.
- If an existing learner record appears, verify the name, date of birth, UPI and current institution before taking any action.
- If no valid record exists and the portal permits a new entry, capture the learner’s details exactly as shown on the supporting document.
- Complete the required school, class or grade and parent or guardian fields shown for that workflow.
- Review the entry before submission. A misspelt name or incorrect document number can create later problems in assessment, capitation or transition processes.
- Submit once. Record the generated UPI in the school’s secure admission record and provide it to the parent or guardian through an appropriate private channel.
A UPI is generated by the system; it is not chosen by the school. The Ministry’s guidelines state that new learners can be assigned UPIs and that the identifier links the learner’s personal record for planning and tracking through education. A UPI should therefore follow the learner rather than being recreated at each school.
Check before you submit
- The learner was searched for first.
- Names and date of birth match the official document.
- The correct document type and number were used.
- The learner is attached to the correct school and grade.
- The UPI has been saved securely, not posted publicly.
How to find an existing NEMIS UPI number
There is no public UPI lookup page confirmed on the Ministry’s NEMIS information page. The reliable route is through an authorised school account or the education office handling the learner’s record.
- Ask the learner’s current or previous school to search the learner record in NEMIS.
- Provide the learner’s full official name, date of birth and the relevant identity-document details privately.
- The school should compare the returned record with its admission documents before releasing or using the UPI.
- If multiple records appear, stop and escalate the case; do not select a record based only on a similar name.
- If no record appears, check whether the learner was registered under a different document, spelling or previous institution before requesting a new record.
For a transfer or transition, the receiving school should use the existing UPI where the system and current Ministry instructions permit. This reduces duplicate learner identities and protects continuity across school, assessment and placement processes.
Correct learner details, duplicates and transfers
Schools should correct only fields they are authorised to edit. Minor contact or class details may be available within the learner record, while core identity fields can be restricted because they affect the learner’s official history.
| Problem | First action | When to escalate |
|---|---|---|
| Spelling or contact error | Compare with the source document and use the authorised edit option | If the field is locked or the change affects identity |
| Duplicate UPI or duplicate learner record | Stop creating or editing records and collect the matching details | Escalate to the Sub-County education office or Ministry support route |
| Learner moved schools | Search the existing learner and follow the current mobility or transfer process | If the former school has not released the record or the destination is wrong |
| Wrong school or grade | Check admission and movement records | If correction controls are unavailable |
| Record missing after submission | Refresh once, search again and keep the submission evidence | If the record remains absent or a second submission could create a duplicate |
When escalating, use a redacted case summary: school code, learner initials, UPI if already assigned, the affected field and the date the problem occurred. Send full identity documents only through the official channel specifically requested by the responsible education office.
NEMIS reports and connected school tasks
NEMIS supports education planning by holding school and learner information and reporting indicators. The reports visible to a school depend on the user role and the modules enabled in the current interface. Before relying on a report, confirm the reporting period, class or grade, enrolment count and whether recent updates have been submitted.
- Enrolment checks: compare the portal count with the current admission register.
- UPI verification: identify learners whose records are missing, duplicated or incomplete.
- Movement checks: review learners admitted, transferred or discharged under the authorised workflow.
- Planning records: use accurate learner data for Ministry planning and applicable resource-allocation processes.
- Assessment preparation: reconcile learner identity details before working in the KNEC CBA portal.
- Transition follow-up: confirm learner identity records when checking Grade 10 placement or admission information.
NEMIS does not replace the separate KNEC assessment workflow or the Ministry’s placement platform. Use the Ministry of Education portals guide when you are unsure which official system owns a task.
NEMIS vs KEMIS in 2026
The Ministry has been moving toward the Kenya Education Management Information System (KEMIS), and current Ministry services such as Senior School selection and placement display KEMIS branding. However, the Ministry’s NEMIS page still directs users to the NEMIS application, and the NEMIS portal remains a separate official destination.
| Point | NEMIS | KEMIS |
|---|---|---|
| Full name | National Education Management Information System | Kenya Education Management Information System |
| Verified official destination | nemis.education.go.ke | kemis.go.ke |
| Current practical role | Existing school and learner data workflows, including UPI-linked records | Newer integrated education-data and service workflows |
| What schools should do | Use it where the Ministry portal or current circular directs | Use it where onboarding or a current service directs |
| Important limitation | Do not assume every function has moved away | Do not assume it has replaced every NEMIS function |
The safest operational rule is simple: follow the official link and system named in the latest circular or task page. Do not copy learner data into both systems without an authorised reason. Our separate KEMIS portal guide covers KEMIS access and onboarding.
Fix NEMIS login and record problems
| What you see | Safe recovery action |
|---|---|
| Portal does not load | Check the official address, connection and time on the device; retry later without changing to an unofficial site |
| Incorrect username or password | Check typing and authorised credentials; use the recovery route shown on the official portal or contact the responsible education office |
| Blank page after login | Refresh once, reopen in an updated browser and avoid repeated submissions |
| Learner cannot be found | Search using the correct document details and check the previous school before creating a new record |
| UPI belongs to another learner | Stop immediately, take a redacted screenshot if permitted and escalate; never overwrite the record |
| Field is locked | Prepare the supporting document and request correction through the Sub-County or Ministry route |
For unresolved account or record issues, start with the head of institution and the Sub-County Director of Education. The Ministry’s public contact details are also listed on its NEMIS information page: Jogoo House “B”, Nairobi; email info@education.go.ke; telephone +254 (0)20 3318581. Confirm the current contact details on the official page before sending sensitive information.
Security and data-protection checklist
- Use only a government domain and a trusted school device.
- Give each user only the access needed for assigned duties.
- Do not save passwords in a shared browser or expose them during screen sharing.
- Do not post learner UPIs, identity documents or full records in public groups.
- Verify the learner before editing; similar names are not sufficient.
- Keep a school-approved audit trail for corrections and transfers.
- Log out after use, especially on a shared computer.
- Redact unrelated personal information before escalating a screenshot.
A UPI is an education identifier, not a password. Even so, it should be handled as personal information because it links to a learner’s official record. Schools should disclose it only for a legitimate education purpose and through a private channel.
Frequently asked questions
What is the official NEMIS website?
The official NEMIS application is https://nemis.education.go.ke/. The Ministry’s NEMIS page links to the same destination.
Can a parent log in to search for a UPI?
We did not verify a public parent UPI-search service on the official Ministry page. Ask the learner’s school to search and confirm the record through its authorised account.
Is a NEMIS UPI the same as a KNEC assessment number?
No. A UPI identifies the learner in the Ministry education-data system. KNEC can assign a separate assessment number for examination and assessment processes.
Should a learner receive a new UPI after changing schools?
Normally, the existing learner identity should be traced and moved through the authorised process. Creating another record can cause duplicates. Escalate the case if the previous record cannot be found or released.
Has KEMIS completely replaced NEMIS?
Not for every publicly verified function. KEMIS is active in newer services, but the Ministry still publishes and links the NEMIS application. Use the system specified for the current task.
What should I do when NEMIS is unavailable?
Confirm the official URL, check your connection and retry later. Do not use a mirror or pay someone for unofficial access. Keep evidence of any time-sensitive task and follow the escalation route in the current Ministry instruction.
