The QMIS KNEC portal is KNEC’s online route for examination-result queries, including confirmation of results, biodata amendments, equation of foreign qualifications and a certification letter when an original certificate is lost or destroyed. Start at the official QMIS login, choose the service that matches your task, upload the exact documents requested and track the query from your account. Do not use QMIS for ordinary KCSE result checking or e-certificate downloads.

Choose the correct KNEC QMIS service
KNEC describes QMIS as the system for submitting and processing examination-related queries online. The most important first step is selecting the correct service. A wrong query type can send you into the wrong document checklist or delay processing.
| What you need | Correct route | Expected result |
|---|---|---|
| KNEC to confirm results to an employer, university, regulator or other recipient | Confirmation of results in QMIS | A KNEC statement or confirmation sent for the stated purpose |
| Your original KNEC certificate was lost or destroyed | Certification letter in QMIS | A certification of examination results letter, not another original certificate |
| A foreign qualification matched to a Kenyan equivalent | Equation of foreign qualifications in QMIS | An official KNEC equation outcome |
| An error in examination biodata | Biodata amendment in QMIS | The query is reviewed against supporting records |
| Download a digital KCSE or KCPE certificate | KNEC e-certificate guide | A digital certificate where the record is available |
| Check recently released KCSE results | KCSE results portal guide | Result access, not a QMIS query |
Important distinction: A lost-certificate request in QMIS is a request for a certification letter. KNEC’s newer e-certificate platform is a separate service. Use the route that matches the document the receiving institution has asked for.

What you need before using the QMIS KNEC portal
Prepare your information and supporting files before opening the QMIS KNEC portal. The exact upload list depends on the service, examination and details entered in your request.
- An email address you can open immediately.
- A working Kenyan mobile number in the format requested by the registration page.
- Your examination index number, examination type, year and series where applicable.
- Your name exactly as it appears in KNEC records and your identification document.
- Clear scans or photographs of every document requested by the selected service.
- Accurate recipient details for a confirmation request.
- Legal name-change evidence where your current identification name differs from the examination record.
Use readable PDF, JPG or other formats accepted by the live upload field. Do not crop out document numbers, official stamps or the edges of a certificate. At the same time, do not send your full ID, index number, password or payment details to unofficial support groups.
How to register and log in to QMIS KNEC
We checked the live registration page on 27 July 2026. It requested a full name, mobile number, postal address, email address and confirmation of the email address. The login page accepted a username or email and password.
- Go directly to qmis.knec.ac.ke.
- Select the registration option if you do not have an account.
- Enter the requested contact details carefully. Use an email address you control because account and recovery messages are sent there.
- Complete the registration action and follow the message shown by the portal.
- Return to the sign-in page and enter your username or email and password.
- If you cannot remember the password, use Forgot password and enter the email registered on the account.
Avoid creating several accounts for the same applicant. Multiple accounts can split your query history and make it harder to trace a request.
How to submit and track a QMIS request
The current QMIS KNEC login page still links to KNEC’s external QMIS user manual. Its screen design is older, but the core workflow remains useful: select a query, enter examination details, attach the listed evidence, submit and use the status area to follow progress.
- Sign in to your QMIS KNEC account.
- Open the query or service menu and select the exact task you need.
- Enter the candidate’s index number and select the examination, year and series where the portal asks for them.
- Use the search or find action to retrieve the candidate details.
- Check that the displayed name and examination information belong to the correct candidate.
- Complete the service-specific fields. A confirmation request, for example, asks for recipient information and the reason for the request.
- Select each item in the required-document list and attach the matching file.
- Review the information before submitting. A wrong index number, year or recipient email can affect the outcome.
- Submit the request and save the reference, acknowledgement or screenshot that does not expose sensitive data.
- Return to the status area in your account to check progress and any action requested by KNEC.
Failure-recovery rule: If the portal shows that a required document is missing or unreadable, replace the file through the query workflow. Do not start paying through a number sent by a stranger or submit a duplicate application unless the portal or KNEC instructs you to do so.
Confirmation of results through QMIS
Use the QMIS KNEC confirmation service when a named institution needs KNEC to confirm a candidate’s examination results. This is different from checking results for yourself. The QMIS KNEC portal asks for the candidate’s examination details and the recipient’s details so that the request is tied to a stated purpose.
Prepare these confirmation details
- Candidate index number, examination, year and series where applicable.
- Copy of the certificate or result slip requested by KNEC.
- Recipient organisation, officer or department details.
- Recipient address or email and the reason confirmation is required.
- Where the certificate or result slip is missing, the additional school introduction and certified result evidence requested by KNEC guidance.
KNEC guidance states that a statement of examination results is not a certificate. It should be used for the recipient and purpose for which it was requested, rather than being passed from one organisation to another.
Lost certificate and certification letter service
If an original KNEC certificate has been lost or destroyed, select the certification-letter service. The official QMIS download currently lists the following evidence for a certification request; always compare it with the live upload checklist before submitting.
- A copy of the certificate or result slip, subject to the examination-specific guidance.
- A police abstract reporting the loss of the certificate.
- A copy of the applicant’s National ID or passport. For a minor, the guidance provides for a birth certificate and identification for a parent or official guardian.
- Confirmation of the applicant’s identity from the Registrar of Persons.
- One colour passport-size photograph.
- Legal name-change documents where the identification name and examination name differ.
The certification letter is not a duplicate original certificate. KNEC’s certification guidance also says the letter itself is not replaceable once issued, so keep the processed document securely.
For candidates whose records are available on the newer digital system, compare this process with the KNEC e-certificate platform guide. The digital platform and QMIS certification letter are separate products with different application routes.
Equation of foreign qualifications
The QMIS KNEC equation service is for a foreign examination qualification that needs to be matched to the Kenyan education system. Do not choose equation for a Kenyan KNEC certificate or for ordinary certificate verification.
KNEC’s 2025 equation guidance requires applicants to provide evidence that allows the Council to understand the foreign programme and assessment. Depending on the qualification, prepare:
- Certified copies of the foreign certificate or qualification.
- The corresponding Ordinary Level certificate when seeking equation of an Advanced Level qualification.
- A certified syllabus showing course content where required.
- A letter from the examining body or institution explaining the mode of assessment.
- An authorised translation where a certificate is written in a language other than English or Kiswahili.
- Any additional identification, transcript or supporting document displayed in the live QMIS KNEC checklist.
Equation is evidence-based. Uploading only a certificate image may be insufficient where KNEC needs the subject content, level, entry requirements or assessment method to determine equivalence.
Biodata amendment on QMIS
The QMIS KNEC biodata amendment route is for a discrepancy in information held against an examination record, such as a candidate name or another field offered by the portal. Select the specific amendment shown, retrieve the candidate record and upload each document listed for that change.
- Enter the index number and examination details exactly.
- Confirm that the current record displayed is the one you intend to correct.
- Type the proposed information exactly as supported by the official documents.
- Attach the required evidence one item at a time.
- Submit and monitor the query status instead of creating repeated requests.
A spelling preference is not enough evidence for a legal amendment. Where a name has legally changed, attach the legal instrument requested by KNEC. Where the examination record itself is correct but your current ID differs, resolve the identity mismatch using the route KNEC specifies.
Payments, status and processing limitations
The public QMIS landing page does not display a single current fee or turnaround time for every service. Charges, payment instructions and processing periods can differ by query and may be updated. For this reason, this guide does not repeat fee figures from old screenshots or unofficial websites.
- Pay only after the request has reached the payment stage shown in your account or after official KNEC instruction.
- Use the amount, account reference and method attached to your live request.
- Keep the transaction message and query reference until the service is complete.
- Check the status page before submitting another application or paying twice.
- If a payment is not reflected, use the portal status route and official KNEC support with the reference number. Do not share your M-Pesa PIN or one-time code.
An older KNEC certification guideline remains downloadable from QMIS, but fees and operational workflows can change. The live QMIS KNEC portal and a direct KNEC response should take priority over an old amount copied elsewhere.
Fix common QMIS portal problems
| Problem | Likely cause | Safe next step |
|---|---|---|
| Password reset email does not arrive | Wrong email, spam filtering or delay | Check spam and confirm the email used at registration before requesting again |
| Candidate record is not found | Index number, exam, year or series mismatch | Compare every field with the result slip or certificate; do not guess |
| Upload fails | Large, unclear or unsupported file | Create a clear scan in an accepted format and upload one required item at a time |
| Details displayed belong to another candidate | Incorrect examination information | Stop the application, correct the search fields and never submit against the wrong record |
| Query remains pending | Review is incomplete or action is required | Open the query status, check messages and contact KNEC with the reference if no instruction appears |
| Portal is unavailable | Maintenance, traffic or connection problem | Confirm the official URL, try again later and avoid mirror sites |

Security and official support
- Confirm that the address bar shows qmis.knec.ac.ke before entering credentials.
- Do not bypass a browser certificate or security warning.
- Do not give a helper your password, M-Pesa PIN, email code or full identification details.
- Do not pay a personal number claiming to “speed up” a KNEC query.
- Redact sensitive numbers before posting an error screenshot in a public group.
- Log out after using a shared computer and remove downloaded identity files.
KNEC’s official contact page directs certificate and result clarification to QMIS. It also lists the KNEC switchboard and Archives Section contacts. Use the official KNEC contact page when a portal query requires escalation, and include the query reference without sending your password or payment PIN.
Frequently asked questions
Is QMIS KNEC the same as the KNEC e-certificate platform?
No. QMIS handles examination-related queries such as confirmation, certification letters, biodata amendments and equation. The e-certificate platform provides digital certificate and verification services for records available in that system.
Can KNEC replace my lost original certificate through QMIS?
KNEC directs a person who has lost an original certificate to apply for a certification letter. The certification letter is not another original certificate. Check the e-certificate route as well where your record is available and a digital certificate meets the receiving institution’s requirement.
How do I know which documents to upload?
Select the correct service and use the required-document list generated inside the request. The checklist in this guide helps you prepare, but the live QMIS list and the linked official guideline control your application.
How do I track a submitted QMIS query?
Sign in to the same account and open the status area or submitted-query history. Use the reference attached to the request when contacting KNEC.
How much does a QMIS service cost?
Use the current amount and payment instruction displayed for your live request. Do not rely on an old blog post, screenshot or message forwarded in a group because KNEC fees and payment channels may change.
What should I do if my names do not match?
Do not force the application using inconsistent information. Use the relevant biodata or identity route and provide the legal supporting documents requested by KNEC. Certification guidance requires the applicant’s identification details to match the examination record or to be supported by legal name-change evidence.
